POSITION SUMMARY
The Human Resources and Communications Associate (the “Associate”) serves as the first line of support for ECRI employees, candidates, customers, third-party partners and vendors, etc., regarding all things related to Human Resources (HR) and Communications. The role will proactively execute against day-to-day tasks in a high quality and confidential manner in support of timely and effective execution of departmental deliverables. In addition, the role will respond to all HR and Communication inquires through various means that are considered “level one” inquires in a timely and professional manner while triaging “higher level” inquires to the appropriate team member.

Essential Functions Statement(s):
- Serve as the fine line of support for ECRI employees, candidates, third-party partners and vendors, etc., regarding all things related to Human Resources (HR) and Communications.
- Be a trusted first-line resource for all initial inquiries, whether via email into the respective Inbox, or by phone. Respond to all inquiries that are considered “level one” inquiries in a timely and
professional manner, in addition to triaging “higher level” inquiries to the appropriate team member.
- Provide proactive, high quality, and confidential day-to-day administrative tasks. Tasks include, but are not limited to:
- Human Resources | In collaboration with and under matrix direction of the Human Resources Operations Manager:
- Support the administration of HR systems, including performing data entry tasks, system maintenance, and administrative tasks.
- Support the HR Operations Manager, HR Specialist – Benefits and Leave Administration, and/or HR Specialist with the processing of compliance related notifications (e.g., ERICA postings, postal mailings, email communications, etc.).
- Support the preparation, staging, assigning, and tracking the completion of employment documentation.
- Ensure that organizational charts are maintained and up to date.
- Process all “first-level” employment verification requests and document requests (e.g., Public Student Load Forgiveness (PSLF) forms), while triaging “higher-level” employment verification and document requests to the appropriate HR representative.
- Support the benefits open enrollment process, including scheduling open enrollment sessions for all employees, posting the appropriate information and materials on ECRI’s staff intranet, ERICA, ensuring that all updates and changes are made in the HRIS system, etc.
- Support the employee life-cycle process, in collaboration with the Human Resources Business Partner and HR Specialist, including assisting with creating and updating job requisitions, scheduling interviews, screening candidates, supporting the Co-Op and Internship program, supporting the on-boarding and offboarding process, etc.
- Support the compliance training process, ensuring that ECRI is compliant with their federal contractor obligations through the Office of Federal Contract Compliance Programs (OFCCP); collaborate with HR Specialist to ensure good coordination.
- Manage ECRI’s awards programs, including, but not limited to, the Spot Award and Annual Award programs.
- Assist in support of the annual review administration process, in conjunction with HR Specialist.
- Participate in routine survey preparation within the systems.
- Communication | In collaboration with and under matrix direction of the Associate Director, Strategic Communications and Associate Director, DEI & Internal Communications:
- Gather and capture ongoing media and communication events to keep real-time inventory of all engagements.
- Support the processing of compliance related notifications, including, but not limited to, sending out communications through HR Mailbox and preparing and sending postal service mailings.
- Partner with executive administration to coordinate participation of key executives in public relations and media relations events.
- Track key communication documents to ensure timely response and input from key stakeholders; proactively follow-up to ensure timelines are met.
- Assist in keeping intranet (ERICA) content current; including development and management of QRGs to ensure respective content owners and effectively manage pages and content.
- Assist in release of internal communications through appropriate mailbox.
- Gather necessary contact information and related details to support execution of PR campaigns.
- Ready public relation social media posts for launch, and launch following review and approval.
- Team Support | Under direction of the CHRO:
- Process approved invoices on a timely basis through Finance team; keep track of invoices paid to ensure current budget accuracy.
- Schedule monthly HR team meetings and quarterly full team meetings; identify ownership roles for each meeting to ensure collaborative meeting design and management process.
- Gather large volumes of data and help synthesize using various excel functions (e.g. pivot tables, VLOOKUP, etc.).

QUALIFICATIONS
Experience:
- 3 to 5 years’ administrative experience preferred.
- Excellent written and verbal communication skills.
- Excellent organizational skills.
- Proven ability to work autonomously and independently.
- Proven ability to prioritize and complete competing tasks on time in a fast-paced environment.
- Proven ability to accurately handle a variety of details and provide creative solutions.
- Proven ability to manage confidential information appropriately, and sensitive information with discretion.
- Highly effective interpersonal, communications, and follow-up skills.
- Experience in a support role is desired.
- Experience in a customer service oriented role is desired.
- Project management experience is desired.
Education:
- High school and/or general education degree required.
- Bachelor’s degree in a HR or HR-related discipline is preferred.
Computer Skills:
- Proficient with Microsoft Office 365 Suite of products (e.g., Word, Excel, and PowerPoint).
- Experience utilizing various systems, such as an HRIS, payroll, learning management system, eLearning catalog, etc., is preferred.
Certifications & Licenses:
- PHR/SPHR and/or SHRM-CP/SHRM-SCP is a plus.
PHYSICAL DEMANDS
This position operates in a remote environment and requires the individual to remain in a stationary position, whether sitting or standing, before a desk or other fixed workspace, most of their workday. In addition, this position requires the individual to occasionally move about their workspace to access and inspect work-related materials, such as file cabinets with physical files and standard office equipment. This position requires the ability to operate standard office equipment, including, but not limited to, a laptop, keyboard, mouse, webcam, and phone, as well as effectively communicate information and ideas to a wide variety of audiences in written and oral form.
