Summary:
The Associate HR Generalist coordinates and administers human resources activities and programs including but not limited to onboarding, training, compliance, leave administration, employee relations, performance management, policy development, payroll/benefits administration, employment laws, and workplace safety; Responsible for record-keeping, file maintenance, and HRIS entry; Assists Operations department with daily operations to ensure nothing is overlooked.
This individual should be able to communicate and work effectively with external service representatives and internal team members who possess a wide variety of backgrounds, personalities, and communication skills. This individual should be able to work effectively in a dynamic, fast-paced, and evolving environment while maintaining a productive professional demeanor. This individual must be capable of working independently, as well as collaboratively with other Race team members across teams and levels of our organization.
Qualifications and Experience:
- Eligibility for US Employment without sponsorship
- Minimum of 18 years of age
- Bachelor’s degree (B.A.) in Human Resources Management, business Administration or a related field or equivalent, three plus years related experience, combination of education and experience is required
- SHRM-CP or PHR certification preferred
- Minimum of 2 years of progressive HR experience
- Demonstrated experience managing leave of absence processes, including FMLA, ADA, and other related programs
- Proven knowledge and understanding of human resources policies and procedures and employment/labor laws
- Proficiency with ADP Workforce Now for HRIS management, including payroll, timekeeping, and benefits administration
- Extensive experience with Microsoft Office Suite, including expert-level skills in Excel and Outlook
- Experience supporting the onboarding process, including preparing offer letters, conducting background checks, and facilitating new hire orientation
- Skilled in handling all aspects of new hire and termination processing, ensuring compliance with company policies and legal requirements
- Proven experience in managing sensitive and confidential information
- Must be able to speak, read, write, and understand English as the primary language used in the workplace
- Spanish bilingual skills are desirable

Essential Duties and Responsibilities:
Policy Administration and Compliance:
- Assists in the administration of company-wide HR policies, procedures, and practices to ensure alignment with corporate objectives and compliance with federal and state legal requirements
- Ensures compliance with labor regulations and maintain required labor law posters
- Administers E-Verify processes and related activities
- Verifies I-9 documentation, track employment eligibility expiration, and follow up on updated documentation
Recruitment and Onboarding:
- Coordinates the hiring process, including but not limited to conducting background checks, drug testing and issuing job offer letters and other required onboarding documentation, follows up with and assists candidates to ensure timely completion
- Conducts employee and contractor onboarding by collaborating with other departments to improve new hire / engagement experience and processes; prepare new employee files
- Supports new hire ‘Speedway to Success’ onboarding and orientation program
- Assists with the offboarding process
- Coordinates and administer employee status changes and related activities
- Provides onboarding and other support to new hires, ensuring a smooth transition into the company
Employee Support and Relations:
- Provides support to employees in various HR-related topics such as benefits, time and attendance, leave of absence, FMLA, etc.
- Works with HR business partners and managers to coordinate accommodations, return-to-work, light-duty, and other responses for sick, injured, or disabled employees
- Reports employee leaves and changes to the ADP Leaves team; informs the ADP Leaves team once employees have returned to work
- Performs customer service functions by answering employee requests and questions; enhances job satisfaction by resolving issues promptly
Performance Management and Employee Engagement:
- Supports quarterly and annual employee performance reviews
- Coordinates the distribution and communication of projects, including but not limited to the Employee Policy handbook, 401(k) open enrollment, and employee recognition
Record Keeping and Documentation:
- Maintains employee files and employee benefits data and reports in electronic form
- Maintains all DocuSign correspondence and filing
- Maintains contractor files and records
- Assists with the distribution and record keeping of required workplace postings
- Maintains trackers such as Leaves of absence, Workers Compensation, Employee changes and other
Administrative Support:
- Creates and maintains SOPs
- Provides backup administrative support for the South San Francisco Office
- Performs other related duties as assigned by management
Team Collaboration:
- Assists other HR team members with various tasks and projects, providing necessary support to ensure smooth HR operations
- Works closely with the recruiting team to facilitate the hiring process, including scheduling interviews, coordinating candidate communications, and ensuring timely completion of onboarding procedures
- Maintains open lines of communication with other departments to ensure HR initiatives and processes are well-coordinated and effectively implemented
- Participates in HR-related projects, contributing ideas and assisting in the execution of initiatives aimed at improving HR functions and employee satisfaction
- Assists in organizing and conducting training sessions and workshops for employees, ensuring that HR policies and procedures are clearly communicated and understood
- Provides feedback to HR leadership and team members on processes and initiatives, identifying areas for improvement and suggesting enhancements
- Attends meetings, shares updates on ongoing tasks, and collaborate on problem-solving strategies to address any HR challenges
- Serves as a backup for other HR team members during absences, ensuring continuity of HR services and support
Technical Proficiency:
- Utilizes ADP Workforce Now for various HR functions, including accessing resources, initiating support tickets, managing timekeeping, and generating reports
Other duties as necessary may include but are not limited to:
- Successfully complete assigned training and examinations, as well as participate in ongoing performance and development reviews, and goal setting
- Be available to participate in internal or external meetings, special functions, and professional development opportunities

All new employees will participate in the mandatory 'Speedway to Success' (Speedway) orientation at one our offices located in either Tehachapi, Yuba City, Chico, or South San Francisco, CA. The duration of the Speedway program spans from 1-3 weeks, depending on the position. During Speedway the schedule will vary; you may not work full 8-hour days and there may be off days. Applicants further than 50 miles from these training locations will be provided with necessary travel accommodations as part of the onboarding process. Applicants 50 miles or less from these locations will be considered regular commute. For those working remotely, virtual attendance will depend on position requirements.
