Position Responsibilities
The Human Resources and Payroll Services Specialist is responsible for providing schools with personnel services, payroll processing, and daily operations of the human resources department. Duties include overseeing the processing of school payroll and time and attendance, ensuring accurate calculation of wages, tax withholdings, and deductions, ensuring proper reporting and compliance and preparing reports as needed.
Job Functions
On Behalf of Building Hope:
- Monitors changes and remains current on legal, regulatory or governmental requirements (e.g., wage and hour, garnishments, tax matters, 401(k) and other benefit deductions)
- Maintains frequent contact with clients
- Keeps up-to-date with HR ticket system
- Reports any concerns to your Building Hope Supervisor
- Completes monthly reporting for invoicing
- Assist with other accounting and back office functions as requested and as time permits
On Behalf of Schools:
- Processes payroll for both exempt and nonexempt employees
- Manages workflow to ensure all payroll transactions are processed accurately and timely
- Updates payroll records by reviewing and entering changes in exemptions, insurance coverage, savings deductions, job titles, and department/ division transfers
- Assists School Admins in reconciling payroll prior to transmission and validate confirmed reports
- Processes correct garnishment calculations and compliance
- Receives and documents any necessary approvals prior to processing any non-standard payments
- Reviews ACA (Affordable Care Act) data on a monthly basis
- Reviews year-end reporting (W-2, W-2c, etc.)
- Calculates any non-standard payments (e.g., staff leaving mid-year, maternity leave…)
- Processes manual checks when needed
- Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
- Oversees the onboarding process of new employees
- Works as a point of contact with insurance providers
- Assists with establishing school HR and Payroll policies and procedures
- Maintains logs of school payroll transactions
- Maintains employee confidence and protects payroll operations by keeping information confidential.
- Acts as liaison with auditors and manage payroll tax audits
- Answer payroll-related questions of school staff
- Acts as a liaison between the school and the Payroll platform, benefits providers, insurance brokers and retirement providers
- Other accounting duties as needed such as data entry, generating reports, following up on vendors and payments, etc.
Desired Skills and Qualifications
- Bachelor’s Degree or equivalent work experience in Accounting or Business Administration or related field
- Prior experience with HR/Payroll, time and labor systems
- Experience with Paylocity preferred
- Experience in a charter school preferred
- Knowledgeable in regulations that impact payroll
- Excellent processing skills and attention to detail
- Ability to meet deadlines
- Excellent written and oral communication skills
- Self-motivated, independent, cooperative, flexible, creative, and responsible
- Must be flexible to meet customer demands with a high degree of accuracy
Locale and Salary
- This position can work remotely from home or within any one of the Building Hope offices which are located in: Fort Lauderdale, FL, Florida, Washington, DC, Austin,TX or Boise, Idaho.
- Salary to be determined based upon qualifications.

Pay: $48,000.00 - $54,000.00 per year
