HUMAN RESOURCES COORDINATOR - REMOTE & COMMUTABLE TO ALEXANDRIA, VA
JOB SUMMARY
The Human Resources Coordinator assists the Director, Human Resources, in various aspects of HR operations and Admin. The HR Coordinator assists with the development and implementation of association-wide policies, programs, and initiatives. This role provides administrative support to the human resource function as needed, including but not limited to record-keeping, file maintenance, benefits administration, employee engagement, and HRIS entry.

RESPONSIBILITIES
General HR Functions
- Performs customer service functions by answering employee requests and questions.
- Assists with the life-cycle of an employee including:
- Assist with managing the recruitment process of new employees and independent contractors. Tracks status of candidates in HRIS (BambooHR).
- Assist with scheduling interviews, conducting professional reference checks, submitting background check requests, and collecting on-boarding paperwork.
- Completes Forms I-9 and E-Verify, verifies I-9 documentation, and maintains I-9 files.
- Assists with New Hire Orientation and on-boarding processes.
- Assists with the preparation of the new hire 90-day and annual performance review process and tracks progress.
- Assists with collecting and organizing comp ratio data for salary analysis.
- Off-boarding processes.
- Organizes electronic records, files appropriate staff documents in employee profiles, maintains insurance records etc.
- Manage Employee Service Recognition Program including creating certificates, drafting anniversary email, and processing gift cards for employees.
- Assist with organization and running engagement activities for team.
- Assist with vendor RFP process.
Benefits Administration
- Administers health and welfare plans, including enrollments, changes, and terminations. Processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions.
- Assists with reconciling benefits statements and premium invoices.
- Assist with planning and managing the annual health benefit open enrollment process.
- Build and maintain carrier and benefit admin relationships.
Payroll
- Assists with the preparation of payroll processing; including but not limited to reviewing salaries, benefits, garnishments, taxes, and other deductions.
- Assists with accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
- Assists with the preparation and maintenance of accurate records and reports of payroll transactions.
- Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
- Provide records and documentation to auditors, as needed.
- Work with HR Director and Accounting to identify efficiencies in payroll processing. Process semi-monthly 401(k) funding & association match and safe harbor contributions after payroll is finalized.
Admin Support
- Answers direct HR phone line and manages messages.
- Collect and process HR related mail (i.e. tax documentation, insurance related notices) from Alexandria, VA Mailbox.
- Schedules and organizes appointments as needed; takes minutes during departmental meetings.
- Creates, maintains, and updates necessary documents, forms, and correspondence. Other duties as assigned.
REQUIREMENTS
- Commutable distance from Alexandria, VA and ability to check mailbox 1-4 times a month.
- Bachelor’s degree or equivalent experience.
- 2-4 years of Human Resources and Admin Support Experience.
- Superior organization skills, and an ability to manage multiple projects in a super-fast paced environment.
- Excellent communication, organizational, and analytical skills with strong attention to detail
- Ability to work independently and collaborate with a team.
- Strong technical skills, including cloud-based systems. Must have a high level of skills in MS Office Suite (including Microsoft Teams) and HRIS.
- Strong expertise in HR practices, procedures, and policies, with attention to detail.
- Thorough knowledge of Human Resource laws and regulations. Strong understanding of benefit administration.
PREFFERED EXPERIENCE AND SKILLS
- Association and/or travel industry knowledge preferred
- Multi-lingual is a plus.
- Experience with BambooHR or similar HRIS.
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT
- GBTA is currently fully remote.
- Prolonged periods sitting/remaining stationary at a desk and working on a computer.
- Must be able to remain stationary and move for long periods of time, during events.
- If required by local, state, federal or international law/regulation for attendance/participation in group functions and meetings - must be able to show proof of COVID-19 vaccination in order to attend.
- Must be able to work a variety of hours in order to accommodate various meetings and events.

TRAVEL REQUIRED
- Up to 5% of travel to events and meetings; based on organizational needs.
- Ability to check local mailbox 1-4 times a month located in Alexandria, VA.
