Role Description
This is a part-time hybrid role, located in the Atlanta Metropolitan Area with flexibility for some remote work, for a Learning and Development Coordinator at EMC Meetings & Events for one our Atlanta based clients.
The Field Staff Learning audience group in Learning and Development aims to build strategic skills and capabilities at every level to ensure quality, customer service, and care. We accomplish this through various execution strategies in several programs extending to the field. The contingent worker will partner closely with the program’s Experience Lead to bring to life the vision, strategy, prioritization, and creation of learning products and experiences encompassing an audience’s learning needs. The partnership will also include but not be limited to thought partnership, ownership over logistic execution, and oversight of logistics needs from start to finish for a flawlessly executed experience on a portfolio of experiences or initiatives within L&D.
Responsibilities
- Serve and be an active member of the audience team.
- Attend and actively engage in weekly meetings with the team to uncover tools, templates, and resources, remove barriers, and solve problems around logistic execution.
- Provide regular status updates and timelines around work.
- Visualization work through shared teamwork visualization tools.
- Partner with the Experience Lead to prioritize work and provide updates on deliverables.
- Budget & invoice management/processing.
- Ownership, monitoring, and maintenance of shared inbox and responses.
- Capture, maintain, create, monitor, adjust, and report on registration and pertinent participant data, including participant management and records within Cvent, participants to date numbers.
- Ensure documentation is up-to-date and standardized across all event experiences.
- Support scheduling meetings with SMEs, facilitators, and internal/external business partners.
- Demonstrate expertise in audience by assessing, recommending, and documenting logistics needs (room set up and floorplan, AV tech needs, meals, surprise, delights, etc.)
- Ensures appropriate systems, processes, spaces, and people are secured to execute the Learning Experience.
- Understand, document, and communicate logistics details of specific learning experiences to learning experience leads and facilitators to ensure flawless execution of the participant experience.
- Demonstrate expertise in audience understanding and meetings, events, and logistics to create and document logistics requirements and execution support needs.
- Order any printed materials or other resources and ensure timely delivery and placement.
- Serve as the primary point of contact for all vendors, including AV tech.
- Be in person and highly engaged in the entire experience.
- Proactively deliver 2nd-mile service by filtering for needs, own, and activate.
Qualifications
- Previous Experience around execution of events.
- Proficient with Microsoft Office Applications: Word, Excel, PowerPoint, and Microsoft Outlook
- Managing multiple calendars (MS Outlook)
- Managing multiple projects independently and simultaneously
- Budget reporting/management
- Excellent communication, interpersonal, organizational, and teamwork skills
